Where we apply automated decision making, we must

  •  carry out regular checks to make sure that our systems are working as intended

Information we collect

We will prior to commencing a relationship with you and periodically thereafter collect personal information about you such as your Name, Address, Date of Birth, Telephone Number, Source of Funds/Wealth, Purpose of the Transaction/Service which may include a copy of your Passport, Utility Bill and/or other documentation, required to comply with the relevant laws and regulations and/or to provide a services to you.

Why we collect this

The lawful basis for processing such information about you is:

  •  That the Company has a legal obligation to do so and processing is necessary for the Company to comply with relevant laws and regulations.

Such laws and regulations would typically include Anti Money Laundering, Combating Terrorist Finance, Anti Bribery and Corruption, Fraud and Tax Evasion.

  •  To ensure we have up-to-date information on file -required by law- to enable us to provide relevant services to you.

How we process this

We will keep this documentation either in hard copy or electronically throughout your relationship with SBUK Limited. When your relationship with the ceases we will continue to retain such information in accordance with legal requirements – for a minimum period of 6 years or longer if required, but not exceeding 10 years, following which it will be deleted from our records.

Transfer of data

SBUK Limited may outsource certain services to third parties which may include scanning of documentation or storing of data. The company will only use reputable 3rd parties located in the UK to perform such services. We will require such service providers to comply with the relevant laws and regulations to ensure that your data is safe and handled securely.

The Group will only use the details you have provided to us in order to perform services or to comply with the relevant legal obligations and requirements. The company will not disclose your information to any external organisation unless required to do so by law nor will it use the data you provide for any other purpose, unless specific consent has been obtained from you.

Retention of data

We hold information we collect from you to support our legal and regulatory requirements. Once your relationship with SBUK Limited ceases we will retain such information/data for six years or longer if required, but not exceeding 10 years. Thereafter your data will be deleted from our systems/files.

Automated decision making

The company currently does not exercise automated decision making or profiling.

The company maintains strict security systems designed to prevent unauthorised access to your information by anyone, including its staff. All staff with permitted access to your information are specifically required to observe the Company’s confidentiality obligations.
